Events & shifts

Canvasses, sign installs, and community events with shifts, RSVPs, waitlists, automatic reminders, and a public link anyone can open.

For admins and canvassers

What an event is

An event is anything you need people to turn up to: a Saturday canvass, a sign install, a lit drop, a phone bank, a town hall. Each event has one or more shifts (a time window with an optional cap) that people sign up for. Events are either team-only, shown to your members in the app, or public, with a link anyone can open to RSVP.

New event

Events → New event. Give it a title, pick a kind, set the start (and optionally end), and say where to meet. For a canvass or lit drop you can link a canvass: team members who RSVP get an Open canvass button straight from their home screen.

Public or team-only

Tick Public event to get an RSVP link. Leave it off for anything with a private meeting point. You can change this later.

One shift is made for you

Every new event gets a single shift spanning the event so RSVPs work immediately. Add more shifts on the event page if people should pick a time slot (morning and afternoon, say).

Shifts and waitlists

Each shift has a start, an end, an optional number of spots, an optional canvass of its own, and notes (“bring a clipboard”). When a shift with a cap fills, further RSVPs go on a waitlist. When someone drops out, the earliest waitlisted person moves up automatically. Raising the cap does the same.

The roster under each shift lists everyone with their status. Change a status from the dropdown: Confirmed after they reply, Attended after the event, Cancelled if they tell you they cannot come. Add person puts a team member or a volunteer on a shift yourself.

How people RSVP

  • Public link. Shows the event details and the shifts with spots left. The person picks one or more, gives a name and a phone or email, and ticks whether they want texts. They are added to your volunteer list and, if they agreed to texts, get a confirmation with a personal My shifts link.
  • Team members. Every member sees upcoming events on their home screen and in All events. I’m in signs them up; Can’t make it drops them and frees the spot.

Reminders and thanks

Three texts go out automatically for each signup, as long as the person may be texted (ticked the box, has not replied STOP):

  • Day before: about 24 hours out, with the time and meeting spot.
  • Morning of: a few hours before the shift starts.
  • Thanks: the day after, to everyone who was registered or marked attended.

Cancelling an event offers to text everyone signed up. Text roster on the event page sends an ad hoc message to the people on it. Each text costs the campaign the same as any other DoorLine text.

On the day

Open the event, mark people Attended as they arrive (or afterwards from memory), and no-shows Cancelled. Attended volunteers get the thank-you text; the roster becomes your record of who actually turns out, which is worth knowing by the time of the next event.

For the team: My shifts

Members see a My shifts card on their home screen once they have signed up for something, with the time, the meeting spot, and a Canvass button when the shift is linked to one. Volunteers without a login get the same thing at their personal My shifts link, where they can also take themselves off a shift or stop texts.
